West Sussex Leaflet Exchange 2018

Visit Chichester cordially invite you to the 2018 Leaflet Exchange which will take place on Wednesday 7th March at Butlin's, Bognor Regis.

Details for Exhibitiors

The leaflet exchange will run from 10am to 1pm, and exhibitors will be allowed on-site from 8.30am to set-up their tables. Exhibitors are invited to bring along any promotional materials, and also this year any stands as we have slightly more room than at previous events.

The leaflet exchange is open to exhibitors from the tourism, leisure and hospitality sectors, and this year we would particularly welcome registration from food and drink providers, including tea rooms, pubs and restaurants.


Early bird registration for the event is £60+VAT and ends on December 8th 2017. After that the cost of registration will be £80+VAT. This covers the cost of your exhibition space, and is strictly based on one organisation per table. There will be a surcharge for organisations sharing exhibtion space. Refreshments will be served throughout the course of the event.

Each customer must at all times maintain all relevant licences/insurances commensurate with their business and ensure they fulfil their responsibilities under all relevant legislation

Visit Chichester reserves the right to refuse, in its absolute discretion and without explanation, to refuse participation should it be deemed by it to be necessary. Visit Chichester further reserves the right to cancel if: -

3.1 There should be any breach by the customer of any term or condition hereunder;

3.2 Any payment due to Visit Chichester is overdue 48 hours before the event.

3.3 Visit Chichester reserves the right to place any customer in such a position, as, in its absolute discretion, it deems suitable.

Acceptance of payment and processing of payment does not constitute Acceptance of entry. Visit Chichester reserves the right to refund any payment up to final 24 hours before the event


Visit Chichester shall not be liable for any direct, indirect or consequential loss suffered by the customer howsoever caused or arising whether in contract tort or otherwise (including but not limited to loss arising from any negligence on the part of Visit Chichester or its Agent). Any liability on the part of Visit Chichester shall be limited to a refund of the charge paid by the Customer for participation.


It is the responsibility of the Customer to ensure that its requirements do not constitute an infringement of any copyright, patent rights, design, trademark or name or any other protected rights. The Customer shall indemnify Visit Chichester against all claims and proceedings on account of any such infringement and against all damages costs and expenses in relation thereto.

Bookings are accepted on the basis that the Customer is the owner of the copyright material supplied and consents to its use for the purpose of this publication. Should the copyright not be in the ownership of or vested in the Customer the Customer warrants that it has been granted a valid and enforceable licence for the use of the material for the publication.


Orders can only be cancelled before the closing date set out in the order form, but Visit Chichester reserves the right to charge a cancellation fee of up to 100%.

Cancellations after the closing date set out in the booking form will not receive a refund. Cancellations can only be accepted in writing notified to Visit Chichester or the nominated Authorised Agent by the Customer.


Should a Customer have a complaint and this is not resolved to the Customers satisfaction by the authorised agent of Visit Chichester, a further complaint must be made in writing and addressed to the Secretary, Visit Chichester.


Payment is strictly as identified on the Booking form. Payment should be made to Visit Chichester Ltd. Any alternative arrangements must be agreed in advance and in writing with Visit Chichester. All legal costs for pursuing debtors will be met by the debtor; this includes cheques, that for whatever reason are returned to the originator.


Visit Chichester shall be under no liability if it shall be unable to carry out any provision of the contract for any reason beyond its control including (without limiting the foregoing) Act of God, legislation, war, fire, flood, drought, failure of power supply, lock out, strike or other action taken by employees in contemplation or furtherance of a dispute or owing to any inability to procure materials or services required for the performance of the contract.

10. LAW

These terms and conditions and all other express terms of the contract shall be governed and construed in accordance with the laws of England.


11.1 Payment should normally be made by cheque or cash or (by agreement) as noted on the signed order form. Payment is to “Visit Chichester”.

11.2 Unless otherwise agreed in advance by Visit Chichester in writing any debt outstanding after 30 days shall attract statutory interest pursuant to the Late Payment of Commercial Debts (Interest) Act 1998 from the due date.

11.3 It will be a condition of any alternative method of payment that the customer agrees to the company undertaking a credit reference check upon them for which their consent is hereby given.
