ABOUT THE WORKSHOP

The purpose of the workshop is to bring together researchers across the UK with an interest in using technology to support physical activity in older people. The topic is intended to include a wide range of types and uses of technology, diverse populations and varied kinds of physical activity.

The workshop will stimulate discussion and collaboration on this topic through a mixture of short presentations of recent and ongoing research, and small group networking. Participants will be involved in sharing ideas and experiences, building collaborations and developing plans for funding proposals.

HOW TO SUBMIT AN ABSTRACT


If you would like to make a presentation, you will need to submit a 250 word abstract when you register. Please copy and paste your abstract into the registration form when prompted to do so. All submissions will be reviewed by an expert GetAMoveOn Network+ panel. The deadline for submitting your abstract is Friday 2nd June and you will hear as soon as possible after that whether it has been accepted.


DO YOU NEED HELP WITH TRAVEL EXPENSES?

Help with travel expenses - Funds available

  • A limited fund is available to reimburse costs incurred for travel to and from the workshop.
  • The maximum amount that will be reimbursed to any individual is £250.
  • Awards will be made on a first-come, first-served basis, so it is recommended that you should register for the workshop and submit your application for reimbursement of your travel costs as soon as possible.
  • When you submit your claim for reimbursement of travel expenses following the workshop, the amount reimbursed to you will be the actual fare you have paid. This may be less than the sum you apply for. We will not refund a sum higher than the sum applied for.

Criteria for awards

If you want to apply for help with travel costs, you should meet the following criteria:

  • You will be making a significant contribution to the workshop (for example, you have been accepted to present a full oral paper, you are a representative of an important community relevant to the theme of the workshop).
  • You are unable to claim your travel expenses from another source.

How to apply

  • If you want to apply for a travel grant, fill out the relevant info when you register for the event.
  • If you are not submitting an abstract, you will need to explain what significant contribution you will be making to the workshop (for example, you may be a representative of an important community relevant to the workshop)
    • You will need to explain why you are unable to claim your travel expenses from another source.
    • You will need to apply for a specific amount of money, based on the fare that you expect to pay. This is the maximum amount of money that will be refunded to you following the workshop.
    • You are advised to apply as soon as possible.
    • The absolute deadline for travel grant applications is Friday 2nd June.

When you will hear

  • You will be notified as soon as possible, by Friday 9th June at the latest, whether your application has been accepted.

How to claim your expenses if your application is accepted

  • After the workshop, you will be sent a claim form to fill out and return by the given deadline.
  • You should claim the actual amount of your travel expenses, or the sum you originally applied for, whichever is the lower figure: we will reimburse expenses on an actuals basis, but will not reimburse a sum higher than that which you originally applied for.
  • You must send evidence of your expenses together with your claim form, for example, receipts and/or tickets.

  • Your travel expenses will only be reimbursed if your claim in line with our travel expenses guidelines which set out what can and can’t be claimed for . This will not be checked at the application stage. It is up to you to ensure that your travel arrangements will be in line with our guidelines
