Event Details

The next UNISON South West Regional Council meeting is being held as follows:-

DATE AND TIME:  10.30am to 3pm on Thursday 9 May 2019 (registration will open from 9.40am)

VENUE:  Somerset County Cricket Grounds, Taunton (see below for venue details)


... but this clashes with the Branch Officers' weekend, doesn't it?

No, not really.  It may be on the same date, but the start time for the Branch Officers' weekend isn't until 6pm at Croyde Bay, and Regional Council is likley to finish much earlier than 3pm.



ALL regional council delegates, ex-officios, observers and visitors have to register their attendance and additional requirements, such as reasonable access, childcare and specific dietary requests.  



Why does anyone need to register to attend this meeting?

Regional Council meetings where issues are debated, reported on, decisions made, motions passed, and elections carried out, need to be quorate, so it's important that representatives from sectors, groups and branches attend these meetings to represent UNISON South West members.

Registration of your attendance means we can properly set up the conference and meeting rooms and ensure that refreshments and catering is provided for the correct number of attendees.  It also means that we can be greener by providing an appropriate amount of documentation on the day.  


Delegate Expense Claims

Please inform any registered delegates and/ or observers from your branch that it is the branch that they should submit expense claims to reimburse any expenses associated with their attendance at Regional Council.  Lunch is provided, so no subsistence should be claimed.  The only exception to this is for Ex-Officios and invited guests speakers.


What if a delegate who has been registered can no longer attend the meeting?

Is it before noon on Monday 15 April 2019?

Yes?  In that case, please amend the original online registration form


What if we need to change a delegate?

If any branches need to change any delegates after the registration deadline has passed, please email with the branch name, new delegate's name and membership number and the name of the delegate who is to be replaced.  Changes can also be made in person at the registration desk, however, the delegation must adhere to proportionality and fair representation guidelines, otherwise they may be registered as an observer with no voting rights.  Please note, we cannot add to or change any catering requests on the day.


Do we need to book accommodation?

As the meeting is commencing at 11am, it's not anticipated that anyone should need accommodation to attend this meeting.  


Is lunch provided?

Yes, lunch will be provided.  It will be available around 1pm.  It will take into account dietary requirements where possible, and subject to notification in advance of the meeting.  However, if details are not submitted by the registration deadline, noon on Wednesday 10 April 2019, we cannot guarantee that any specific food intolerances or allergies can be catered for.


What are my transport options?

Public transport - Should you choose to use public transport, the cricket ground is within a short walking distance of the Taunton train station, and local bus stops and the main bus station. Please see the map link for location of the venue.

Travelling by Car - For those driving, free parking is available on site, but please note, you will need to register your car licence plate upon arrival at the meeting on the iPad provided.  This will be available during the meeting for late arrivals.  Failure to do so could result in a parking fine from the car park operating company for which the individual will be liable to pay.

Taunton also offers two park and ride options.


How do we submit motions, an amendment of a motion or emergency motions?

A separate link/ form will be made available for the submission of motions and emergency motions.  Motions should be submitted by no later than one month before Regional Council. Please click HERE to go to the motion(s) submission form.  Motions (or topics for discussion) should be submitted by noon on Tuesady 9 April 2019.  See the online submission form for more details.  This form will automatically become available online after 2pm on Tuesday 9 April 2019, after the closing date of receipt of motions.  Amendment of motions or emergency motions are due by 2pm on Wednesday 8 May 2019. 


What do I do if I need childcare, need to bring a facilitator or have access requirements?

Should anyone have any childcare requests, need to bring a facilitator or have access requirements, such as large print, documentation required on a specific coloured paper, please ensure those details are provided when registering your attendance, or that of your delegate(s).


When is the agenda issued?

Further details about Regional Council, including the agenda, will be sent to all registered delegates approximately two weeks ahead of the meeting.


How many delegates can our branch register?

The number of delegates depends on the number of members within your branch.  It is one delegate per 500 member of part thereof.  Delegates have to be full UNISON members (they cannot be retired members) and the delegation must comply with UNISON's principles of proportionality.  If in doubt of how many delegates you can send or how many should be men or women, please contact the event organiser, or refer to the regional constitution.
