VENUE:  Somerset County Cricket Ground, Taunton (see below for venue details)

... but this clashes with the Branch Officers' weekend, doesn't it?

No, not really.  It may be on the same date, but the start time for the Branch Officers' weekend isn't until 6pm at Croyde Bay, and Regional Council is likley to finish much earlier than 3pm.

REGISTRATION

ALL regional council ex-fficios need to register their attendance and additional requirements, such as reasonable access, childcare and specific dietary requests.

Please note, the registration deadline is noon on Monday 15 April 2019.

This online registration is for individual ex-officios.  Ex-Officios include regional NEC members, Co-Convenors and Deputy Convenor, elected regional service group reps, committee and network reps, SOG representatives, National SOC rep, Labour Link Chair and Strategic Committee Chairs.  If this does not apply to you, please contact your branch to register as a branch delegate or a branch observer.

FAQs

Why do I need to register to attend this meeting?

Meetings where issues are debated, reported on, decisions made, motions passed, and elections carried out, need to be quorate, so it's important that representatives from sectors, groups and branches attend these meetings to represent UNISON South West members, their sector groups and minority groups.

On a practical level, registration of your attendance also means we can properly set up the venue and/or conference and meeting rooms, and ensure that refreshments and catering is provided for the correct number of attendees.  It also means that we can be greener by providing an appropriate amount of documentation on the day.

Responsibilities of Ex-Os at the meeting

As Ex-Officios have been elected to or volunteered for such a position to represent regional South West Committees, groups and sectors (or report from national in the case of NEC members) the rep should consult with their respective committees/ SOG Chairs and Secretaries in advance of the meeting, to ensure they are able to give a verbal report, submit a written report on behalf of that committee/ group in advance of the meeting, or talk to a tabled report on the day.

Should I register as an Ex-Officio or a branch delegate?

Ex-Officios include the following:-

  • NEC members (general, women's and low paid women's seats)
  • Regional and Deputy Convenors (or Co-Convenors)
  • National SOC rep
  • Elected Service Group, SOG, Committee and Network reps (often the Chair and/ or Vice Chair or Co-Chairs, including Retired Members' Committee rep and Young Members' Advisory Group rep)
  • Strategic Committee Chairs
  • Labour Link Chair

If you do not fall into one of the above categories, and wish to attend this meeting, contact your branch. They can register you as a branch delegate or observer (subject to proportionality and eligibility).

Is lunch provided?

Yes, lunch will be provided.   It will be available around 1pm and take into account dietary requirements, subject to notification in advance of the meeting.  However, if details are not submitted by the registration deadline, we cannot guarantee that any specific food intolerances or allergies can be catered for.

Can I claim expenses from the region?

Only Ex-Officios, as listed above, can submit expense claims to the region, along with any guest speakers.  No subsistence can be claimed for lunch at Regional Council as it is being provided.

What are my transport options?

Public transport - Should you choose to use public transport, the cricket ground is within a short walking distance of the Taunton train station, and local bus stops and the main bus station. Please see the map link for location of the venue.

Taunton also offers two park and ride options.

Travelling by Car - For those driving, free parking is available on site, but please note, you will need to register your car licence plate on the iPad provided upon arrival at the meeting. Failure to do so will result in a fine from the company which operates the car parking arrangements, for which individuals will be liable.  The iPad will also be available after the start of the meeting for any later arrivals.

What do I do if I need childcare, need to bring a facilitator or have access requirements?

Should anyone have any childcare requests, need to bring a facilitator or have access requirements, such as large print, documentation required on a specific coloured paper, please ensure those details are provided using the appropriate online forms.

When is the agenda issued?

Further details about Regional Council, including the agenda, will be sent to all registered delegates approximately two weeks ahead of the meeting.

I need to stay overnight; can I accommodation?

As the meeting is not commencing until 10.30am, it's not anticipated that many (if any) should need accommodation to enable them to attend this meeting.  If you think otherwise, please contact the region by email via email c/o southwest@unison.co.uk, with full details of your request.  Submitted requests will not be automatically agreed, but will be considered, and where agreed, the individual will be notified.

I have another question and it's not answered here.  Who do I contact?

Any queries, please email Jenn Gollings, the event organiser (c/o southwest@unison.co.uk or c/o 01823 285318).
