Dear Secondary School

RE: Secondary School Games: District Athletics for years 7, 8, 9, and 10/11

I am writing to invite your school to participate in the SSG District Athletics competition to be held at Medway Park, Gillingham on Thursday 20th June 2024 from 9am – 5pm approx. Please note that the times may vary depending on the amount of schools that enter.

The competition will be aimed at pupils in years 7, 8, 9, and 10. There will be two separate events running on the day, one for boys and one for girls.

Medals will be awarded on the day to the winning school teams (1 st /2 nd /3 rd individuals in each event) and points will be awarded and submitted to the overall Medway Secondary School Games results. Each school needs to complete a tick box entry form by the closing date: Thursday 25th May 2023, to give organisers an idea of the number of entries. Plus on the day of the event each school team manager must complete an entry form for both girls and boys including pupil’s names.

I accept that the Greenacre Sports Partnership, Howard School Sports Partnership and any other schools, sports clubs, coaches or leaders present at the competition, shall not be responsible for any loss, damage or injury which may be incurred to a person(s) who takes part in any of the activities stated above. I accept that I am fully responsible for the pupils from my school throughout the competition. This includes gaining parental consent, photographic consent and medical information about each of the pupils prior to the competition. I have read the PSG risk assessment. If you wish to take photos at the competition please register your camera on arrival. There will be an official photographer present at the event and photographs from the day may be used for publicity purposes, including use on websites and social media. If any of your pupils cannot be photographed please ensure the event organisers are aware of this at the start of the event, so an illuminous wristband can be issued. I agree to adhere to the most up to date government, GSP & HSSP COVID19 guidelines and control measures set out for this event. I accept that I have entered a team/s knowing of the possible risks associated and have read the PSG risk assessment and/or any national viral outbreaks that may occur in the future.

We will allow spectators as long as they sign in and stay in safe allocated areas (not walk across the track at any time) and follow photographic policies i.e. do not take photos/video of athletes/participants wearing green wrist bands.
