REGISTRATION

Please note, the registration deadline for observers to regional council is noon on Tuesday 6 September. After this date, the Branch should email the event organiser with the members' name and membership number. Additional observers can register at the registration desk prior to the start of the meeting, however, we cannot provide any specific catering which isn't requested before the deadline. Everyone attending should be informed they need to sign in before the meeting starts.

Please ensure that the email addresses for any observers listed on RMS are up to date, as this is the email address which will be used to send the meeting joining instructions and agenda.

FAQs

Why does anyone need to register to attend this meeting?

ALL regional council delegates, ex-officios, observers and visitors are expected to register their attendance and additional requirements, such as reasonable adjustments, childcare and specific dietary requests.

From a practical perspective, registration means we can properly set up the conference and meeting rooms and ensure that refreshments and catering is provided for the correct number of attendees. It also means that we can be greener by providing an appropriate amount of documentation on the day.

What’s the difference between an ‘observer’ and a 'branch delegate'?

A branch delegate can participate in the meeting, speak for or against a motion, and will be entitled to cast a vote on any matters put to the floor to vote on. An observer can’t vote or speak on a motion. However, being an observer is a good opportunity for perspective delegates and activists to get to learn more about the democracy of the union, what’s going on in the region and nationally, in the various committees and service groups, and see how decisions are made and Regional Council is run.

What are my transport/parking options getting to the event?

If travelling by car, there is ample parking on site. The train station is within 10 minutes' walk of the meeting venue.

Lunch and AccommodationLunch is being provided approximately 12:45pm to 1:45pm, so please detail catering requirements for each observer.

Given that Regional Council isn't starting until 2pm, and it's only scheduled for a few hours, unless the Observer is actively involved in and attending the Get Active 2022 event, it's not anticipated that anyone will need accommodation.

How many observers can our branch register?

The number of observers the branch wishes to register is up to each branch. Lunch is provided but all other associated attendance costs are met by the observer'(s') branch. Please ensure that branch observers are informed of this, so they know they need to submit expense claims directly to the branch. As lunch is being provided, no subsistence should be included in the claim.

What if an Observer who has been registered can no longer attend the meeting?

Please email the event organiser directly with the branch and member's name. Ideally this should be done at least two weeks in advance of the meeting, to avoid unnecessary costs to the union.

Please note it is the Branch’s responsibility to cancel any accommodation that may have been booked.

What do we do if someone needs childcare, needs to bring a facilitator, or has access requirements?

Should anyone have any childcare requests, need to bring a facilitator, or have access requirements, such as large print, documentation required on a specific coloured paper, please ensure those details are provided when registering their attendance.

When is the agenda issued?

The region aims to send the agenda and meeting joining instructions for Regional Council to all registered delegates around two weeks ahead of the meeting. This is subject to receipt of all relevant documents.
