The Summer Science Exhibition is an annual showcase of some of the UK’s leading and influential research.

My future in science days

Wednesday and Thursday at the Exhibition are My future in science days.

This is a new pilot for 2019 aimed at students studying STEM A-levels or equivalent, and their teachers. Attendees will get the unique opportunity to take a full day to explore the Exhibition and engage in a number of new activities, allowing students to talk one-on-one with the researchers and find out more about the fields they are working in and how they got there. There will also be schools talks taking place throughout the day.

Schools and colleges can book groups of up to 28 students to attend the full day. Each group will have a maximum allocation of two additional accompanying teachers who will need to be named at the time of booking (making the maximum group size 30 people). Teachers will also need to provide a register of all the students attending in advance of the event, a template for which will be sent as part of the joining instructions at the start of June.

Groups will need to be on site for 10am, and the programme of activities will run through to 3.30pm so students and staff will be expected to stay for the whole day.

As this is a pilot, to ensure we are able to evaluate the new initiative successfully, student groups with those younger than Year 11 will not be admitted into the Exhibition.

Whilst this is a free event, we ask for a refundable deposit (in the form of ticket costs) for each student attending. This will be fully refunded after attendance at the event (as long as 50% of the group attends on the day), or if you cancel your group booking up to 1 month before the event (see FAQs for more details below).

FAQs

Can I change the time of a booking slot?

The My future in science days take place between 10am and 3.30pm and the timetable cannot be changed. All visitors will need to arrive on time to ensure they do not miss any of the Exhibition and additional activities.

Are there any age requirements to enter the event?

Group bookings for schools is restricted to school students in Year 12 and 13 (ages 16-18). If booked groups contain students under this age limit on the day, the Royal Society reserves the right to refuse entry to the whole group. As this is a pilot, to ensure we are able to evaluate the new initiative successfully, student groups with those younger than Year 11 will not be admitted into the Exhibition.

What are my transport/parking options for getting to and from the event?

Please be aware there is no parking at the Royal Society due to its location in central London, and we recommend travelling by public transport where possible. Coaches and minibuses can drop off and collect outside the venue, but alternative parking will need to be found. Can I book more than one group to attend?

No. In order to allow as many schools as possible to visit, schools and colleges can only select one My future in science day to attend. In the event of multiple bookings being made, only the first session booked will be retained and staff will reserve the right to delete all other sessions booked.

Can I bring more than two staff members?

As a general rule no, but we do understand that there may be some exceptions. If you require more than two adults to support your group, please contact the Schools Engagement team BEFORE you book letting us know the reason for the additional support and how many of the maximum 30 group members will be staff and how many will be students.

Can I book in more than 28 students?

No. In order to allow as many groups as possible to visit, schools and colleges can only book in a maximum of 28 students. If you are keen to bring additional students please contact the Schools Engagement team at the time of booking to let them know how many extra students you would like to bring and why. The Royal Society will inform interested schools at the start of June if any places are still available. However, this cannot be guaranteed.

What can I bring into the event?

This event is very busy. Students are advised to bring as little as possible ie no bulky bags. There are refreshments available to purchase at the event, but students are encouraged to bring their own lunch. Limited seating will be available in the Schools Hub. Please also note that it can get very warm in the Exhibition and students are advised not to bring bulky coats. Water fountains and bottles will be available on site.

What's the refund policy?

Ticket costs are fully refundable if more than 50% of the booked group attends. If under 50% of the booked group attends, the Royal Society reserves the right to retain the deposit. Schools can amend their booking or cancel and receive a full refund before the 1 June. In the event of wanting to cancel after 1st June 2019, you will need to contact the Schools Engagement team.

Do I have to bring my printed ticket to the event?

No, but you will need to bring the information requested in the joining instructions which will be sent to you at the start of June. The key items you will need to bring with you to the Exhibition are:

1) Wristbands for all members of the group.

2) Your filled in photography permission form.

3) A copy of your complete register with student details sent 2 weeks before the event. We also require you to bring your own register to the event and keep it with you while in the Exhibition.

Can I update my registration information?

Yes, you should be able to access your information and update it prior to the event.

Are there any schools talks this year?

Yes. There will be short talks for schools only, lasting 30 minutes. The invitation to book these will be sent in June prior to the event.

Is my registration fee or ticket transferrable to another day or slot time?

No, if you cannot make the session you have booked you should cancel your tickets to open up those spaces for another school. You will then be able to book your preferred time if spaces are still available.

Is it OK if the name(s) on my ticket or registration doesn't match the person(s) who attends?

You will be able to update the details of the teachers attending via Eventbrite after booking. Please make sure these are up to date, and inform the Schools Engagement team at reception on the day if there have been any last minute changes.
